Roles & Teams
Roles and teams are the structure your staff fit into: a role says what good looks like for a job, and a team says who works together. Once your skills exist, this is the first thing to set up. With roles in place, every person you add lands with clear expectations from day one. Both live under Manage in the sidebar.
A role is a clear statement of what good looks like for a job, such as RBT or BCBA, expressed as the skills that matter most. Assign skills you’ve created or imported from the Skills Library to the role; everything else (supervision, progress, and development) hangs off them.
To assign skills, open the role, choose Edit role, and tick the skills on the Progression tab. The same tab holds the role’s metrics, and the Permissions tab sets its permission set, which decides what members of the role can do.
Required skills
Section titled “Required skills”Mark the skills everyone in the role must master as Required; the other skills assigned to the role stay optional. Priority is not set on the role: it is set for each person on their profile, to mark what they should focus on next (see Prioritizing skills).
Roles from Account Setup
Section titled “Roles from Account Setup”If you used the Account Setup wizard, it created roles for the purposes you picked; the candidate roles and Behavior Technician come with a skill set from the Skills Library:
| Role | Created for | Permission set | Required skills |
|---|---|---|---|
| BCBA | Every purpose | Supervisor | None |
| BCaBA | Staff observations and overlaps | Supervisee | None |
| RBT | Staff observations and overlaps | Supervisee | None |
| Behavior Technician | Staff observations and overlaps | Supervisee | Behavior Technician Basics |
| BCBA Candidate | BCBA fieldwork | Supervisee | BCBA Test Content Outline (6th Edition) |
| BCaBA Candidate | BCaBA fieldwork | Supervisee | BCaBA Test Content Outline (6th Edition) |
| RBT Candidate | Training and assessing RBTs | Supervisee | RBT Test Content Outline (3rd Edition) and RBT Competency Assessment (2026) |
Every organization also has an Owner role with the Admin permission set, which its creator belongs to. Edit any of these roles, or add your own, such as a Clinical Director. See BACB task lists for what each list covers.
Teams group your staff so you can manage and report on them together. In an ABA organization a team is usually a clinic or a location, such as a North Clinic team or an in-home services team. A person can belong to more than one team, for example an RBT who works at two clinics.
A person is assigned to a role (which gives them skills to develop) and to one or more teams (which group them for management and reporting). See Adding & managing people.
Team relationships
Section titled “Team relationships”A team can carry relationships too, and a relationship on a team applies to each of its members. Make a clinic’s lead BCBA Supervisor of the North Clinic team, and they supervise every member of it, including RBTs who join the team later. Add them with Edit team, in the team’s Relationships card.
Team commitments
Section titled “Team commitments”A team’s page shows a read-only Commitments card: its members’ open commitments, grouped by person, then the ones they recently completed, so you can see what the clinic still has outstanding at a glance. Each commitment follows its own visibility, so you only see the ones you’re allowed to: a member’s private commitment stays private. Teams don’t have their own notes; commitments are recorded on each person’s profile. See Notes for note types, due dates, and skill links.
