Adding & managing people

People in Behaview are your staff and the Clients and Guardians/Parents they work with. How you add someone depends on their type and on whether they need to sign in.

Every person has one of three types. The Staff page (under Manage) lists everyone, with a Type filter to show one type at a time.

TypeWhoWhat their profile shows
StaffRBTs, BCaBAs, BCBAs, Behavior Technicians, trainees and adminsSkills, plus the BACB certification fields on the Details tab
ClientsThe learners your staff serveSkills, without the certification fields
Guardians/ParentsThe caregivers of your ClientsNo skill assignments: the Overview and Progression tabs have no Skills card

Anyone in the organization can be the Observee of a Session Plan, Clients and Guardians/Parents included; in the picker, they carry a chip naming their type. See Clients and Guardians.

  1. Open Staff. To add a Client or a Guardian/Parent, first set the Type filter to that type. The add button follows the filter: Add Staff with All or Staff selected, Add Clients or Add Guardians/Parents otherwise.

  2. Choose the add button. Leave Invite to Behaview on to give the person an account, or turn it off to add them without one (see below).

  3. Enter their First Name and Last Name, and for an invite their Email Address. Pick their Roles and Teams.

  4. Choose Invite (or Add).

An invite adds the person’s existing Behaview account if one matches the email; otherwise it creates an account. Send Welcome Email (on by default) emails a new account its sign-in details; turn it off and none are sent. Once signed in, they see their own progress and can practice with AI Coaching. A person assigned a role immediately inherits its expected skills; add them to one or more teams, such as their clinic, for management and reporting. A person can hold more than one role and belong to several teams.

You don’t have to send an invite. Adding a person without platform access is useful when you want to:

  • Keep records for people who won’t sign in: most Clients and Guardians/Parents.
  • Set up first, invite later: build out your clinics and roles before you bring your RBTs on.
  • Model a role: create a placeholder person, assign them a role, and use Impersonation to see exactly what someone in that role will experience.
  • Track someone privately: keep notes and observations on a person who doesn’t need (or shouldn’t yet have) platform access.

When you’re ready, choose Link User from the person’s Manage menu and enter their email to give them an account. A link can’t be undone.

When someone leaves or no longer needs tracking, choose Disable Member from their Manage menu. Disabling keeps their history and past observations, and Enable Member turns them back on later.

A person with no Session Plans or observations can be removed entirely with Remove Member, which also deletes the notes about them and the notes they wrote. Once they have Session Plans or observations, removing them fails: disable them instead, so nothing is lost. The demo users Account Setup creates show Delete Demo Member instead, which deletes them along with their demo data.
